We are looking for a Reception Associate to join our team—someone who thrives on supporting colleagues, organizing administrative processes, and providing a professional welcome and service to customers, suppliers, and visitors.
About the Position
As a Reception Associate, you’ll be the first point of contact for our organization and will ensure a professional and welcoming reception for customers, suppliers, and visitors. You’ll play a key operational and support role in Swagelok’s day-to-day operations. The position is highly operational and service-oriented, requiring you to work within clearly defined processes and guidelines. You ensure that administrative and facility-related tasks are carried out carefully and accurately, and you contribute to the smooth running of daily operations. You will support the Services department in the planning and administration of training sessions, rental activities, and surveys. In doing so, you will follow established procedures and promptly coordinate any specifics or deviations with your supervisor.
Your Core Responsibilities
- Professionally answering, assessing, and transferring incoming phone calls according to established guidelines
- Welcoming and assisting visitors, customers, and suppliers
- Accurately and completely entering administrative data into systems such as HubSpot and SAP according to agreed-upon procedures
- Assisting with the planning and administration of training sessions, rental activities, and surveys in accordance with established processes
- Processing incoming and outgoing mail and other correspondence
- Purchasing and managing office supplies, catering, and other facility-related needs
- Supporting various departments with administrative tasks
- Ensuring that data is recorded accurately and kept up to date
- Identifying discrepancies or recurring issues and coordinating them with the supervisor
- Maintaining contact with internal and external parties to ensure that work proceeds as agreed
Your Profile
- MBO Level 4 work and thinking level, preferably supplemented with experience in an administrative, facilities, or reception role
- You are available for 16 hours per week on Wednesdays and Fridays
- You work accurately and follow procedures and agreements carefully
- You have a service-oriented and customer-focused attitude and present yourself professionally in your communication
- You communicate clearly and politely, both verbally and in writing
- You work in a structured manner and maintain a clear overview of your daily tasks within the agreed-upon parameters
- You work well with colleagues and contribute to the smooth running of daily operations
- You identify any unusual issues and promptly discuss them with your supervisor
- You have an excellent command of the Dutch language and a basic knowledge of English
